As a travel agent, sharing a compelling, trustworthy quotation is your first step toward converting a lead into a confirmed booking. With PaySecure, you make sure the travellers trust your quotation with Holidify’s PaySecure guarantee and it helps you convert bookings that may have gotten lost otherwise.
Here’s your complete guide to creating a quotation for a lead on TripCrafters Dashboard. This quotation after submitting will get shared with travellers and will open as a link on Holidify. This quotation can be booked online on Holidify by the traveller.
Step-by-Step: Creating a Quotation
1. Go to Your Dashboard → Create a Quotation
- Click on “Create a Quotation” from the PaySecure Home.
- Select the Lead you want to quote for.
- Choose a tour package (if pre-saved. This will save you a lot of time). Or start from scratch.
Alternatively, you can also go to the “Purchased Leads” listing page and generate a quotation on any lead. Or you can also create a Quotation on the purchased lead page.

2. Enter Trip Overview
- Add a Quotation Title — something short and descriptive (e.g., Romantic Getaway to Manali).
- Upload a cover image that visually represents the trip. More photos are better, but at least one should be added.

3. Add Client Details
- Auto-filled: Traveler name, phone, and email.
- Confirm the group size, departure date, and trip duration.

4. Write the Day-Wise Itinerary
- Add each day title and description (e.g., sightseeing, meals, activities).
- Use bullet points for clarity.
- Click “Add Another Day” to build out the full trip.

5. Add Pricing, Validity & Cancellation Policy
- Enter the final price inclusive of taxes. 3% PaySecure fees will be added on top of this.
- Choose a quote validity date (max 7 days). This is the time till which the user can pay to confirm this booking. Keep it short like 1 or 2 days if you want to create urgency for the traveller. After this validity expires, you can increase the validity again, as required.
6. Define your cancellation policy:
- All trips need a cancellation policy. If the trip is non-cancellable, a 100% cancellation penalty will be charged from the traveller immediately after trip confirmation.
- However, if you want to offer Free cancellation till a certain date or Partial Cancellation Penalty till a certain date, you should do that.
- Choose a date and put the penalty that will be applicable before that particular date.
- You can add multiple rows of cancellation policy as well.
- After the last date of partial penalty, automatically, 100% penalty will be charged. This will be shown to you clearly.
Please note that we have enforced that all quotations must carry a 100% cancellation penalty at least 15 days before the trip starts.

7. Select Payment Schedule
You’ll see two options:
- Partial Payment – 30% now, 70% later (auto-calculated based on price)
- Full Payment – 100% at the time of booking
The system auto-calculates due dates and amounts for partial payments.
In case the partial penalty is more than 30% immediately after booking, the partial payment option may not be available to be offered to travelers.
It’s up to you if you want to offer a partial payment option to travelers or not.
If you give a partial payment offer, travelers will have to pay only 30% now to book the trip. It will be their responsibility to give the remaining payment before the due-date
Holidify will actively follow-up and send emails/notifications/whatsapp and calls to the traveller to collect the remaining payment. In case the traveller refuses to pay the remaining amount, the trip will be considered cancelled and a cancellation penalty will be applied as per that date.

8. Mention Inclusions, Exclusions & Terms
Clearly specify:
- ✅ What’s included. Make sure you mention everything that is included in your quotation for which the traveller is paying.
- ❌ What’s not included (flights, personal expenses, tips). Please make sure you mention if there are special charges like toll tax, parking fees, driver expenses, driver night fee, etc.
- Any special terms (refund rules, hotel availability disclaimers, etc.). Things like trips will start on time and travellers shouldn’t delay or cars will not be available 24/7 with the traveller, etc.
9. Add Stay & Meal Plan Details
- Mention exact hotel names, meal plan, and room types. If the group size is big, then mention the number of rooms and room types. Like 2 premium rooms, 1 deluxe room.
- If the hotel is not 100% confirmed, you can tick "Allow Similar Hotels."
- Repeat for each stay in the itinerary. If there’s an overnight journey, for which the travellers will be in transit, then you can write “Overnight Train or Overnight Bus or Overnight Transit” for such cases.

10. Final Step: Save & Share
Once you’ve reviewed the full quotation:
- Click “Save and Share”
Quotation Summary Page
You will see the entire details of the quotation including the payout timelines. You will also see the link to the quotation. You can also manually share the link of the quotation directly with the traveller.
- Holidify will also share the quotation with the traveller by WhatsApp + Email
- They can now Book the quotation Online with PaySecure on Holidify. If they need any further changes, they can contact you for modifications. The quotations can be modified as many times as required before the trip is booked.
Once booked, you'll be notified and you will have to confirm the trip from TripCrafters Dashboard.
Tips for Better Conversions with PaySecure Quotes
- Price matters. Make sure your prices are competitive, but don’t try to make it too cheap so that the experience suffers.
- Keep the itinerary as real as possible.
- Please make sure the cancellation policy is something you can offer. The trips can get cancelled after booking and trip confirmation, so make sure the appropriate cancellation penalty is charged based on when the traveller cancels the trip.
- Clearly list inclusions like airport transfers, meals, and sightseeing.
- Very Important - Clearly list exclusions, for which the travellers will have to pay by themselves during the trip and is not part of the quotation.
- Be responsive—travelers often have questions or may need modifications after receiving the quotations
Important: What Happens Next?
Once the traveler clicks “Book Now”:
- They’ll pay via Holidify.
- You’ll be notified of a pending booking on TripCrafters Dashboard.
- After you click “Accept”, the booking is confirmed.
- Holidify handles the rest—remaining payment collection, payout releases, and disputes (if any).
